Privacy policy

This policy explains what personal data TriCheddar collects, why we collect it, who we share it with and what your rights are. We only collect what we need to run the event, and we never sell your data.

Who we are

TriCheddar organises the TriCheddar sprint and super sprint triathlons in Cheddar, Somerset. We are the data controller for the personal data described in this policy. If you have any questions, or want to use any of your rights, email us at hello@tricheddar.co.uk.

What we collect and why

Newsletter

If you sign up to our newsletter we collect your email address, and use it to send you race news, entry openings and race information. We do this with your consent. Every email includes an unsubscribe link, and you can unsubscribe at any time. Our newsletter is sent using Brevo.

Volunteering

If you sign up to volunteer we collect your name, email address, phone number, the shifts you are available for, anything else you choose to tell us, and your confirmation that you are 18 or over. We use this to organise volunteers and contact you about your role, because you have asked us to. The form is processed by our website host, Netlify, and sent to our email inbox.

Shop and gift entries

When you buy kit or a gift entry, payment is handled by Stripe. We never see or store your card details. We receive your name and email address, the items you bought, the size you chose and, for gift entries, the recipient's name and your gift message. We use this to fulfil your order: to have your kit ready at race registration, and to email you your gift card and entry code. We keep order records for as long as the law requires for accounting.

Race entries

Race entries are made through British Triathlon, which processes your entry under its own privacy policy. British Triathlon shares the entry details we need to run the race with us, such as your name, age category, club, emergency contact and predicted swim time. We use them to organise swim waves, issue race numbers, keep you safe on the day and produce results.

Results

Race timing and results are provided by K2 Sports and published on Racetec Results. Published results show your name, race number, category, club and finish times. If you would like your name removed from published results, email us.

Photos

Our official photographer, Blowfish Photography, takes photos throughout the event. We may use event photos on this website and on our social media. If you would rather a photo of you was not used, email us and we will remove it.

Emailing us

If you email us we use your email address and anything you include in your message to reply to you. Our email is provided by Google Workspace.

Cookies and this website

This website does not use analytics, advertising or tracking cookies, so you won't see a cookie banner. Our host, Netlify, keeps short-term server logs, including IP addresses, to keep the site secure and working. Videos on this site come from YouTube's privacy-enhanced mode, and nothing loads from YouTube until you press play. Once you do, YouTube may set its own cookies under its own privacy policy.

Who we share your data with

We use these trusted services to run the event. Each processes your data only as needed to provide its service.

Some of these providers store data outside the UK, including in the United States. Where they do, they protect it with safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum or the UK Extension to the EU-US Data Privacy Framework.

How long we keep it

We keep personal data only for as long as we need it for the reasons above.

Your rights

Under UK data protection law you have the right to ask for a copy of your data, to have it corrected or deleted, to restrict or object to how we use it, and to withdraw your consent at any time. To use any of these rights, email hello@tricheddar.co.uk. We will reply within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put things right first, so please contact us.

Changes to this policy

We will update this page if the way we use your data changes. The date at the top shows when it was last updated.
